Grow Raton Request for Proposals Regarding the Services of a Certified Public Accountant (CPA)/Bookkeeper

This is a public Request for Proposals regarding the services of a Certified Public
Accountant (CPA)/Bookkeeper.
Proposals are due by 5 pm on Friday, May 27th, 2022.
Overview:
GrowRaton!, a nonprofit economic development organization, is seeking
proposals for the contracted, part-time role of a CPA. In general, duties will
include handling monthly bookkeeping, financial transactions, tax return
preparation, and other financial tasks as needed.
Scope of Work:
● Must be accepting new clients
● Manage payroll for 1 to 5 employees
● Tax Return Submission
● Monthly Financials
● Realignment/Streamlining of current QuickBooks
● Semi-Annual meetings with our board treasurer, board directors, and executive director
Project Goals:
● Manage bookkeeping duties by preparing financial statements for the Treasurer to present
at monthly board meetings and as requested, including:
○ Income Statement (or profit & loss statement)
○ Balance Sheet
● Prepare QuickBooks account to handle onboarding of new employees to reflect accurate
employment tax, workman’s compensation, timely preparation, and delivery of W-2s, etc.
● Check accounting records for accuracy and notify the Treasurer of any accounting errors
● Track invoices and payments
● Track individual grants per federal requirements
● Maintain a system for organizing company documents
● Record financial transactions
● Track payroll data
Current Barriers:
GrowRaton! has established a substantially large account file which now needs to be reduced
in size for easier maintenance. Additionally, GrowRaton! is preparing to expand its outreach
and services. Therefore, sufficient back-end practices are vital to lay the foundation for
successful growth. The current treasurer is unable to dedicate the necessary time to the
anticipated increase in financial duties.

Evaluation Metrics and Criteria
● The selected CPA will work with the current Treasurer for direction on the realignment and
streamlining of current QuickBooks.
● CPA will be expected to file all Federal and State of New Mexico annual, quarterly and non
profit forms accurately and according to the due dates set forth by the governing body.
Budget:
Include your hourly rate or fee schedule for the services requested along with any retainer fee.
